Donor Engagement And Stewardship Coordinator

Miami Book Fair seeks a highly organized, strategic, and relationship-driven professional to lead donor engagement and stewardship across multiple levels of giving. Willingness to learn, develop and adopt AI-forward strategies for efficient communications management and streamlining of processes.

This person will build and manage a year-round approach to donor communications and engagement, with particular attention to Sustainers, Chairman’s Circle members, Advisory Council members, fundraising dinner host committee members, and other key supporters. Additionally, the role will manage VIP guest communications necessary for the effective implementation of fundraising events, including, but not limited to dinners, receptions and other activities. The role combines writing, donor stewardship, event engagement, project management, and systems-building. It is ideal for someone who can create structure, maintain momentum, track relationships in real time, and support a more intentional culture of donor engagement.

Reporting to the Director of Development and Executive Director, the Development Coordinator plays a key role in advancing MBF’s cultural and educational mission through strong donor stewardship, accurate data management, and cross-departmental coordination.

Key Responsibilities

Donor Stewardship and Communications

  • Develop and manage a year-round donor engagement and communications calendar tied to fundraising priorities, special events, and Miami Book Fair programming.
  • Create tailored communication plans for different donor groups, including Friends of the Fair, high level supporters, host committee members, and higher-capacity donors.
  • Draft and coordinate donor-facing communications, including invitations, thank-you notes, stewardship updates, follow-up messages, talking points, and other outreach.
  • Ensure communications include both solicitations and non-ask touchpoints, with an emphasis on continuity and relationship-building.

Tracking and Relationship Management

  • Maintain real-time tracking of donor engagement, communication history, event participation, and relevant personal or professional milestones.
  • Monitor donor activity outside of Miami Book Fair, including public accomplishments, leadership roles, awards, book launches, business news, civic involvement, and other meaningful developments, so the organization can respond in a timely and authentic way.
  • Identify opportunities for leadership and staff to acknowledge, engage with, or amplify donor activity through personal outreach, social media engagement, or other appropriate channels.
  • Help ensure key relationships do not go dormant and that follow-up happens consistently.

Donor-Forward Event Engagement

  • Ideate, manage, and implement donor-forward engagement tied to Miami Book Fair events throughout the year.
  • Develop special communications, invitations, touchpoints, and follow-up plans for members and high-level supporters in connection with both private and public events.
  • Help shape donor experiences around private receptions, pre-event gatherings, reserved opportunities, and other stewardship moments for select donor groups.
  • Coordinate the donor-facing aspects of public programs where these constituencies are being invited, ensuring their experience feels thoughtful, distinct, and well managed.
  • Work with leadership and relevant staff to define and deliver the appropriate level of special treatment for donor groups in ways that align with the Fair’s values and tone.
  • Ensure donor event engagement is part of a broader strategy tied to cultivation, retention, and recognition.

Digital Engagement, Coordination, and Systems

  • Serve as the central point of coordination for donor communications and engagement across departments, aligning outreach with programming, development, marketing, and leadership activity.
  • Build and maintain practical systems for stewardship, segmentation, follow-up, event engagement, and communication tracking so relationships are managed consistently and no key donor falls out of the loop.
  • Support thoughtful digital engagement with donors, board members, and other key supporters across platforms such as LinkedIn, Instagram, and Facebook, integrating those touchpoints into the broader stewardship strategy.
  • Monitor and help surface opportunities to acknowledge, engage with, and amplify donor activity in ways that feel genuine, timely, and aligned with Miami Book Fair’s values.
  • Use AI and other digital tools responsibly to support drafting, research, segmentation, calendar management, reminders, and communication workflows, helping make donor engagement more efficient while preserving a personal touch.
  • Help define ownership of donor relationships, communications, and next steps, and contribute to stronger internal workflows overall.

Qualifications

  • Bachelor’s degree or equivalent experience.
  • 3–6 years of relevant experience in donor communications, stewardship, advancement, development, marketing, events, or a related field.
  • Excellent writing, editing, and interpersonal communication skills.
  • Strong organizational ability and follow-through.
  • Experience managing multiple timelines and priorities with care and consistency.
  • Comfort working with digital platforms, project management software, databases, and AI-supported tools.
  • Strong judgment, discretion, and sensitivity in relationship-based work.

Preferred

  • Experience in the arts, higher education, publishing, or nonprofit sectors.
  • Familiarity with donor stewardship and relationship management practices.
  • Experience supporting senior leadership communications and donor events.
  • Interest in literature, public programs, and mission-driven cultural work.

They are comfortable balancing strategy with execution and know how to translate stewardship into concrete systems, communications, and event experiences.
