Part-time Operations Assistant

Job Description

The Operations Assistant assists the Director of Operations in the logistical coordination of the Book Fair, as well as assisting with other MBF events throughout the year. 

Duties and Responsibilities: 

  • Coordinates credentialing efforts for various groups (i.e. Friends of the Fair, Sponsors, Authors, Media, Volunteers, etc.)
  • Attends Operations Committee meetings with the Director and assists with follow-up coordination of issues/items that arise at the meetings
  • Assists with the Book Fair’s communication processes by responding to e-mail inquiries sent to the Book Fair
  • Assist the Director with various other logistical issues that may arise prior to and during the actual Book Fair
  • Responsible for all of the planning and coordinating of volunteers for the Book Fair
  • Assists with coordination of special events hosted by MBF Year Round
  • Responsible for ensuring phone coverage from 8-5PM each day by creating work schedules and ensuring there is always someone answering the phones
  • Responsible for training new clerical staff on all office operations
  • Responsible for obtaining quotes and ordering all supplies
  • Assists with the organization of financial documents sent to Accounts Payable and the College’s Foundation department 
  • Responsible for submitting all Facilities, IT, Campus Services, and Consultant Request work orders throughout the year, including work orders for events and following up with departments to ensure the successful implementation
  • Performs other duties as assigned


Minimum Requirements:

  • Bachelor’s degree and/or four (4) years of experience
  • Excellent written and oral communication skills
  • Must be able to work a flexible schedule, including some nights and weekends

Part-time Programs Assistant

Job Description

The Programs Assistant is responsible for assisting with management of all aspects of planning, supporting, and executing any and all activities related to creative writing programming, including the Emerging Writer Fellowship (EWF), First Draft, and Speak Up: Teen Creative Writing + Performance programs. The Programs Assistant also supports any and all activities related to virtual and in-person author presentations, including MBF’s Classroom Collaborations series. Additional responsibilities may include support of MBF-related programming tasks, including liaising with authors, researching author information, updating databases, tracking report data, and assisting in any and all activities leading up to and after Miami Book Fair author programming. This is a part-time contractual position with Miami Book Fair @ Miami Dade College. The position reports to the program manager and works with the rest of the Miami Book Fair programming team. 

Essential Duties and Responsibilities: 

  • Plans program activities for fall, spring, and summer semesters, including managing registrations and communications with attendees.
    • Year-round in-person and virtual creative writing workshops conducted over one or more sessions.
    • Emerging Writer Fellowship: A year-long residency program designed to support the careers of emerging writers in fiction, nonfiction, and poetry in English and/or Spanish.
    • First Draft: A Literary Social, a monthly virtual freewriting series.
    • Speak Up: Teen Creative Writing + Performance, held on Saturdays during fall and spring semesters, as well as a week-long virtual summer camp.
  • Corresponds with presenters to help coordinate Fair appearance in person or online, including assisting with contracts and technology.
  • Facilitate author events when applicable.
  • Initiates and maintains relationships with local community and sponsorship partners.
  • Assists in gathering related program and marketing materials in collaboration with Miami Book Fair’s marketing team.
  • Collects relevant data and develops reports for quality assurance.
  • Performs other duties as assigned.


Qualifications: 

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily and be present in the Miami Book Fair offices during working hours and at Book Fair events. This job may also require being able to lift 25-50 lbs. 

Contractor will be required to use various technology products that streamline collaboration and efficient management of tasks including but not limited to Airtable, Trello, Google applications, Chat GPT, Canva, and Microsoft Office.

Development Coordinator

Job Description

The Miami Book Fair (MBF) seeks a detail-oriented and collaborative Development Coordinator to support fundraising and donor engagement efforts across corporate, foundation, in-kind, and media sponsors as well as individual giving. This role provides essential administrative and project support for year-round development initiatives and major fundraising events, including MBF’s premier annual benefit, the Next Page Dinner.

Reporting to the Director of Development, the Development Coordinator plays a key role in advancing MBF’s cultural and educational mission through strong donor stewardship, accurate data management, and cross-departmental coordination.

This is an annual contractual position with the Miami Book Fair. The role is expected to be approximately 35 hours per week, with an hourly rate commensurate with the candidate’s experience.

Key Responsibilities

Development & Donor Support

  • Support corporate sponsorships, foundation grants, and individual donor relations from outreach through fulfillment and follow-up.
  • Draft and manage professional donor and sponsor communications, including solicitations, acknowledgments, and stewardship correspondence.
  • Track sponsorship benefits, deliverables, and valuations to ensure accurate reporting and fulfillment.
  • Maintain donor, sponsor, and partner records in internal databases and spreadsheets (Airtable, Google Sheets, Excel).
  • Conduct prospect research and assist with sponsorship proposals, pitch decks, and donor-facing materials.
  • Coordinate with programming, marketing, and operations teams to align fundraising goals and sponsor benefits.
  • Support donor cultivation, renewal, and stewardship efforts, including donor briefings and engagement events.


Fundraising Events – Next Page Dinner

  • Assist with planning and execution of MBF’s annual Next Page Dinner.
  • Support donor and sponsor stewardship, including personalized communications before and after the event.
  • Coordinate guest lists, RSVPs, seating, donor recognition, and event documentation.
  • Provide on-site event support and manage post-event acknowledgments and reporting.


Required Qualifications

  • Associate’s degree or equivalent relevant experience.
  • Interest in nonprofit development, fundraising, events, or arts and cultural organizations.
  • Strong written communication and organizational skills.
  • High attention to detail and ability to manage multiple priorities and deadlines.
  • Proficiency with Microsoft Office and Google Workspace.
  • Ability to work collaboratively and attend occasional evening or weekend events.


Preferred Qualifications:

  • Bachelor’s degree or equivalent experience.
  • Experience in nonprofit, events, publishing, education, or arts organizations.
  • Strong proofreading and editing skills.
  • Familiarity with Airtable, Trello, Canva, or similar tools.
  • Comfort with data entry and record-keeping.
  • Bilingual (Spanish/English) a plus.
